Lists, tags and segments

Three ways to organise your contacts, when to use each, and segments worth saving so every email reaches the right people.

Sending the right email to the right people is the easiest way to get better results. BumbleBlast gives you three tools for it: lists, tags and segments. Each does a different job, and they work best together.

Lists, tags or segments?

  • Lists are groups you fill on purpose, like “Newsletter” or “Spring open house”. People are in a list because you, or an import, put them there.
  • Tags are labels on a contact, like “Buyer”, “VIP” or “Kitsilano”. A contact can have as many as you like.
  • Segments are saved rules, like “city is Vancouver and has tag Buyer”. They update themselves, so they always include whoever matches today.

A simple way to decide: use a list when membership is a deliberate choice, a tag when it describes the person, and a segment when you want to combine conditions.

Lists

  • Create lists under Contacts → Lists, with a name and an optional description.
  • Add people while importing a file, or select contacts in your contact list and use Add to email list.
  • When you send a campaign, pick one or more lists. You can also leave out everyone in particular lists, for example your current clients.
  • Lists can start an automation: everyone added to the list gets the sequence.

Tags

  • Add tags on a contact’s profile, or tick several contacts and use Add tag or Remove tag.
  • Filter your contact list by tag in seconds, and use tags in segment rules.
  • Tags can start an automation too, which makes them the quickest way to drop someone into a sequence.
  • Rename or delete tags in Settings → CRM settings.

Segments

  1. Go to Contacts → Segments and create a new segment.
  2. Choose whether contacts must match all of the conditions (AND) or any of them (OR).
  3. Add conditions on name, email, company, city, province or state, country, source, date added, list membership, tag, contact type or pipeline stage. Text fields can be matched with “is”, “contains”, “starts with”, “is empty” and more; dates with “is before” or “is on or after”.
  4. Click Preview count to see how many subscribed contacts match, then Save segment.

Choose the segment as the audience of any campaign. Because the rules are checked when you send, new contacts who match are included automatically, and anyone who unsubscribed is left out.

Segments worth saving

  • Local buyers (all): city is Vancouver, has tag Buyer.
  • Clients and past clients (any): pipeline stage is Client, pipeline stage is Past client.
  • New this year (all): date added is on or after January 1.
  • Investors outside the province (all): contact type is Investor, province or state is not BC.
  • Newsletter, minus clients: send to the Newsletter list and leave out the Clients list.

Tips

  • Agree on tag names with your team, so “Buyer”, “buyers” and “Buying” don’t become three different tags.
  • Keep it lean. A handful of tags you actually use beats dozens nobody remembers.
  • Check the count before you send. If a segment matches far more or fewer people than you expected, look at the rules again.
  • Smaller and relevant beats bigger and generic. A well-targeted email gets more opens and clicks and fewer unsubscribes.
