Run your follow-ups from the CRM

Use stages, tasks, the calendar and engagement scores so the right person gets a call at the right time.

Set up your pipeline

Your pipeline is the set of stages a contact moves through. BumbleBlast starts you with stages that suit most real estate businesses: New lead, Contacted, Qualified, Appointment / showing, Offer / proposal, Negotiation, Client, Past client and Lost.

  • Rename, reorder, add or delete stages in Settings → CRM settings, and mark which ones count as won or lost.
  • Adjust the contact types too. The defaults include Buyer, Seller, Landlord, Tenant, Investor, Referral partner, Lawyer and Mortgage broker.
  • Move people on the Contacts → Pipeline board by dragging their card, or change many at once from the contact list with Move to stage.
Keep it simple

A pipeline only helps if it’s up to date. Fewer stages that you actually use beat a detailed pipeline nobody maintains.

Keep profiles useful

A good profile tells you, in ten seconds, what this person wants and what happened last.

  • Preferences: for buyers, budget, areas, property type, bedrooms, bathrooms, timeline and pre-approval; for sellers, the property, estimated value, timeline and motivation.
  • Notes: write what you’d want to remember before the next call, and pin the most important note so it stays at the top.
  • Relationships: link a spouse or partner, their lawyer, their mortgage broker or the person who referred them.
  • Owner: assign each contact to the team member responsible, so nobody falls between the cracks.

Tasks, reminders and the calendar

  • Log activity as it happens. After a call, meeting, showing or text, use Log a call or meeting on the profile, with the outcome and a few notes.
  • Always set the next step. Add a task with a due date and priority, or Schedule follow-up to put it straight on your calendar.
  • Work from your task list. Contacts → Tasks shows what’s overdue, due today and due in the next seven days.
  • Use the calendar in month, week, day or agenda view; switch to the team view to see everyone’s schedule.
  • See it on your phone. In Settings → Calendar & Sync, create a private calendar link and add it to Apple Calendar, Google Calendar or Outlook. Keep that link private: anyone who has it can see the calendar.

Follow the engagement signals

Your campaigns tell you who’s paying attention. Use those signals to decide who to call first.

  • Engagement score: each profile shows whether a contact is hot, warm or cold, based on the last 90 days of opens, clicks and activity.
  • Timeline: every email a contact received, opened and clicked sits alongside your notes, calls and tasks.
  • Campaign reports: filter a report to the people who clicked, and open their profiles from there.
  • Recent activity: sort your contact list by recent activity to see who’s engaged lately.

A weekly routine that works

  1. Monday morning: clear overdue tasks, then work through what’s due today.
  2. After every campaign: call or email the people who clicked within a day, while it’s fresh.
  3. Midweek: look over hot contacts without a next step and give each one a task.
  4. Friday: update stages on the pipeline board and schedule next week’s follow-ups.
  5. Monthly: send a market update to your past clients so they think of you first.
